7 Best CRMs for Mac in 2025

CRM 15 min read

Discover the best small business CRM software for Mac users

As a Mac user, you appreciate CRM software for Mac that's not just powerful, but also simple, elegant, and intuitive. You expect your tools to work seamlessly together, with a clean design that helps you focus on what's important.

However, many business tools, especially CRMs (Customer Relationship Management systems), feel like they were designed for a different universe. They can be clunky, complex, and feel completely out of place on your Mac's clean desktop.

This guide is for you. I've tested and ranked the best CRMs that work seamlessly on your Mac, integrate with the tools you already use, and share the same philosophy of simplicity and power that you've come to expect from Apple products.

Let's find the perfect CRM for your Mac-powered business. 👇

What is a CRM for Mac?

A true CRM for Mac is more than just software that runs on macOS. It's a tool that works well on a Mac, feeling native and intuitive rather than like a clunky port from another operating system.

It integrates smoothly with the rest of the Apple ecosystem and the tools commonly used by Mac users, from Mail and Calendar to the third-party apps you love.

The philosophy behind it is simple, yet powerful, much like Apple products themselves.

Finally, the best CRMs for Mac users are typically built for small businesses rather than large enterprises, avoiding unnecessary complexity and focusing on features that help you grow.

Why look for CRM software for Mac specifically?

You're used to a high standard of software, and your CRM should be no exception.

There are two crucial reasons to find a CRM that plays well with your Mac:

  1. A good integration is crucial. A modern CRM should be the central hub for your customer data, which means it needs to connect effortlessly with your existing tools. It should pull data from your mailbox (like Apple Mail, Gmail, or Outlook for Mac) and your calendar automatically, so you don't have to waste time copy-pasting information. It should also work within your existing tools, with plugins for your inbox or browser, so you don't have to constantly switch tabs to manage customer relationships.
  2. Ease of use on Mac matters. If you don't enjoy using your CRM, you won't use it consistently. It's that simple. A clunky, poorly designed CRM becomes a chore, leading to neglected data and a useless tool. Mac users in particular value a clean, intuitive user experience. A CRM that feels good to use is one that your team will adopt, keep up-to-date, and use to its full potential to drive sales.

Of course, a few other criteria may also come into play.

What other criteria are important?

Beyond Mac-specific features, a great CRM should fit your unique workflow and business type.

Integrates with what you use:

Works well for your type of business:

It’s important to evaluate CRMs on all these levels, so you find the best one for your specific case.

Ranking CRM software for Mac: our methodology

To compile this ranking, I went through a list of around 750+ possible CRMs to make a pre-selection. Then I tested and researched every one of the 7 selected CRMs for Mac first hand and rated them for you below.

To find the best CRM for Mac users, I couldn't just use a generic feature list. I created a specific scoring system focused on what matters most to people in the Apple ecosystem.

First, I developed a 5-point Mac CRM Score, which assesses how well the CRM integrates with a Mac user's typical workflow:

  1. Has an Outlook for Mac integration & a Gmail extension in Chrome for Mac.
  2. Works flawlessly in the Safari browser (in addition to Chrome).
  3. Integrates with Apple Calendar (in addition to Google and Microsoft 365).
  4. Integrates with Apple mailboxes: @icloud.com, @me.com and @mac.com (in addition to Google and Microsoft 365).
  5. Offers an iPhone app on the iOS App Store.

I then combined this score with two other critical ratings to get a final, comprehensive score: the iPhone App Rating from the App Store and the overall G2 Rating for user satisfaction, both on a 5-point scale.

The final score gives us a clear picture of which CRMs truly deliver for Mac users. ⭐⭐⭐⭐⭐

2. Zoho CRM [8.4/10]

Zoho CRM homepage

Zoho is a true household name in the CRM industry.

It launched its small business CRM product in 2005 and has historically been positioning itself as a cheaper alternative to Salesforce.

If you’re looking for a CRM solution, Zoho has many tiers and products.

Its main selling point is its affordability, but the user experience is generally lacking.

Testing it out

When I tried Zoho on my Mac, the first thing I noticed was its complexity. The user experience felt a little dated and clunky, which can be jarring for someone used to the slickness of other Mac apps.

The value proposition is strong: you get a lot of features for a low price.

However, I found that navigating the system and setting up workflows was not very intuitive. It works on a Mac, but it doesn't feel like it belongs there.

It’s a budget-friendly option for those who prioritize features over a seamless user experience.

Features (4/5)

  1. Has an Outlook for Mac integration & a Gmail extension in Chrome for Mac: Yes
  2. Works flawlessly in the Safari browser (in addition to Chrome): Yes
  3. Integrates with Apple Calendar (in addition to Google and Microsoft 365): Yes
  4. Integrates with Apple mailboxes: @icloud.com, @me.com and @mac.com (in addition to Google and Microsoft 365): No

Zoho CRM offers a free trial of 15 days.

3. Salesforce [8.0/10]

Salesforce CRM homepage

Salesforce is by far the biggest CRM company in the world.

It offers a huge platform to enterprises that basically consists of a set of building blocks with which you can build anything.

A Salesforce implementation typically requires a consulting company to map business needs and build the system.

While the software is not a great match for small and medium-sized businesses, no comparison is complete without mentioning the market leader.

Testing it out

Running Salesforce on my Mac felt like using a powerful but very foreign piece of software.

Of course, it works in the browser, but it doesn't share any of the design DNA or simplicity of macOS.

The platform is built for extreme customization and enterprise-level needs, and I found the interface to be complex and overwhelming. For a small business Mac user looking for an intuitive tool, this is the opposite direction.

While Salesforce has a functional and highly-rated iPhone app, the core platform feels like it was designed for a corporate IT department, not for an individual who values elegance and ease of use.

Features (3/5)

  1. Has an Outlook for Mac integration & a Gmail extension in Chrome for Mac: Yes
  2. Works flawlessly in the Safari browser (in addition to Chrome): Yes
  3. Integrates with Apple Calendar (in addition to Google and Microsoft 365): No
  4. Integrates with Apple mailboxes: @icloud.com, @me.com and @mac.com (in addition to Google and Microsoft 365): No
  5. Offers an iPhone app on the iOS App Store: Yes

Scoring

  • Mac CRM Score: 3/5
  • iPhone App Rating (App Store): 4.7/5
  • G2 Rating: 4.4/5
  • FINAL SCORE: 4.0/5 → 8.0/10

Pricing

Pricing for the Pro plan (Salesforce Sales Cloud Pro Suite):

  • $100/user/month (only billed annually)

Salesforce offers a free trial of 30 days.

4. HubSpot CRM & Sales Hub [8/10]

HubSpot CRM & Sales Hub homepage

HubSpot is a marketing automation platform turned everything platform.

Nowadays, HubSpot’s main selling point is offering an all-in-one solution, including marketing, sales, service and operations. If you don’t like using different apps and integrating them, then HubSpot might be what you’re looking for.

To get full sales functionality, you need two HubSpot products: its free CRM and its paid Sales Hub.

This makes the pricing quite steep, starting at $100/user/month plus a required onboarding fee.

Testing it out

As a powerful web-based platform, HubSpot works reliably in Chrome on a Mac, and I found the user experience to be smooth and consistent. The design is clean, and for users who are already bought into the all-in-one marketing and sales suite, it’s a solid choice.

However, it doesn't feel like a Mac-native product. I noticed a lack of deep integration with Apple's own apps like Apple Mail and Apple Calendar, pushing you towards the Google or Microsoft ecosystems.

The iPhone app is full-featured and works well, but the overall system feels more like a cross-platform tool rather than one designed with the Mac user in mind.

  • G2 Rating: 4.3/5
  • FINAL SCORE: 4.0/5 → 8.0/10

Pricing

Pricing on the Pro plan (HubSpot Sales Hub Professional):

  • $90/seat/month (billed annually)
  • $100/seat/month (billed monthly, but with annual commitment)

+ an extra required fee of $1500 for onboarding

HubSpot offers a free trial of 14 to 30 days.

5. Pipeliner CRM [7.8/10]

Pipeliner CRM interface on Mac

Pipeliner CRM is a software company founded in 2009 with the goal of building better software for salespeople.

The software is relatively feature rich compared to the other platforms in this comparison, although also a little dated and not too easy to use.

Pipeliner’s pricing rises quite steeply as you need more functionality, which probably makes it a better fit for mid-sized companies with deep pockets.

Testing it out

My experience with Pipeliner on the Mac was mixed.

While it's a web-based CRM and technically works in a browser, the interface felt quite dated and clunky. It didn't provide the smooth, modern experience I expect from the software I use on my Apple devices.

The visual pipeline is a strong point, but navigating the system required more clicks than necessary.

It has a solid iPhone app, but the core desktop experience doesn't align well with the design and usability standards that Mac users typically appreciate.

  • iPhone App Rating (App Store): 4.1/5
  • G2 Rating: 4.6/5
  • FINAL SCORE: 3.9/5 → 7.8/10

Pricing

Pricing for the Pro plan (Pipeliner Business):

  • $70/user/month (only billed annually)

Pipeliner offers a free trial of 14 days.

6. Freshworks CRM [7.2/10]

Freshworks CRM / Freshsales homepage

Freshworks CRM (aka Freshsales) is a sales CRM from Freshworks, the company behind Freshdesk.

Freshworks’ main selling point is its feature depth. It has also managed to offer this range of functionality through an easier to use interface than its competitor/predecessor from the same city, Zoho.

However, the software can feel quite bulky and the interface is full of so many little buttons that it can be overwhelming.

Testing it out

Freshworks ran fine in Chrome on my Mac, but the interface felt very busy from the moment I logged in.

For a Mac user who values simplicity and clean design, the sheer number of buttons, menus, and options was a bit overwhelming and created a steep learning curve.

It's a powerful, web-based tool with a functional iPhone app. However, like many other cross-platform CRMs, it lacks any special integration with the native Apple ecosystem.

It’s a functional choice, but it doesn't provide the seamless, elegant experience many Mac users look for.

Features (2/5)

  1. Has an Outlook for Mac integration & a Gmail extension in Chrome for Mac: No

Scoring

  • Mac CRM Score: 2/5
  • iPhone App Rating (App Store): 4.3/5
  • G2 Rating: 4.5/5
  • FINAL SCORE: 3.6/5 → 7.2/10

Pricing

Pricing on the Pro plan (Freshsales Pro):

  • $39/user/month (billed annually)
  • $47/user/month (billed monthly)

Freshworks CRM offers a free trial of 21 days.

7. Pipedrive [6.8/10]

Pipedrive CRM homepage

Pipedrive is an easy-to-use and easy-to-setup sales CRM software for small businesses and startups.

The company was founded in 2011 to launch a counterreaction to enterprise systems like Salesforce. Pipedrive’s power is its simple and well-considered user experience.

While the company is focused on helping you manage your sales, it keeps missing some of the more modern automation functionality offered by other platforms.

Testing it out

Testing Pipedrive on my Mac, I appreciated its clean, simple UI, which is a big plus for any Mac user who values minimalism. It runs smoothly in a web browser like Chrome or Safari, and its core feature - the visual sales pipeline - is intuitive and easy to manage.

However, the experience started to feel less integrated when I looked at the broader Apple ecosystem. While it syncs with Google and Microsoft calendars, the Apple Calendar integration is less direct.

More importantly, I found its iPhone app to be less polished and more limited than its competitors, which is a significant drawback for anyone who relies on their phone for work on the go.

Features (2/5)

  1. Has an Outlook for Mac integration & a Gmail extension in Chrome for Mac: No
  2. Works flawlessly in the Safari browser (in addition to Chrome): No
  3. Integrates with Apple Calendar (in addition to Google and Microsoft 365): No
  4. Integrates with Apple mailboxes: @icloud.com, @me.com and @mac.com (in addition to Google and Microsoft 365): Yes
  5. Offers an iPhone app on the iOS App Store: Yes

Scoring

  • Mac CRM Score: 2/5
  • iPhone App Rating (App Store): 4.0/5
  • G2 Rating: 4.3/5
  • FINAL SCORE: 3.4/5 → 6.8/10

Pricing

Pricing on the Pro plan (Pipedrive Premium):

  • $49/user/month (billed annually)
  • $79/user/month (billed monthly)

Pipedrive offers a free trial of 14 days.

Frequently Asked Questions

Does Apple have a CRM system?

No, Apple does not have its own CRM system. While you can use its native apps - Contacts, Calendar, and Mail - for very basic personal contact management, they lack the essential features of a true CRM, such as sales pipelines, team collaboration, reporting, and automation.

What is the best contact management software for Mac?

For personal use, Apple's built-in Contacts app is excellent. For business and sales, the best contact management software for Mac is a full-fledged CRM like Salesflare. It goes beyond just storing contact information by automatically enriching data, tracking all interactions, and reminding you when to follow up.

Is HubSpot available for Mac?

Yes, HubSpot is available for Mac as a web-based application. It runs in any modern browser like Chrome or Safari. HubSpot also offers a native app for iPhone and iPad. However, there is no dedicated desktop application for macOS.

Is a free CRM good enough?

A free CRM can be a good starting point for a brand-new business or freelancer to organize contacts. However, they are almost always very limited. You will quickly find that essential sales features like email sequences, automation, and in-depth reporting are locked behind expensive paid plans.

Which is the best CRM for small business?

For small businesses, especially those that use Macs and value ease of use, Salesflare is the best CRM. It’s designed specifically for small B2B sales teams and focuses on extreme automation, which ensures the team will actually use it. This leads to better data, more consistent follow-ups, and ultimately, more sales.
